The Settled archive: searching past work
Settled is the record of every decision your workspace has made. Nothing is deleted from it and nothing in it can be edited — it is append-only by design, and it is what the Found ledger and Scout's own accuracy score are built from. It is also where you go to reopen something that turned out not to be finished.

Getting there
Open Settled from the Housekeeping row at the top of the Inbox, or go to the Settled page directly. Two tabs sit at the top: Settled (work that closed) and Lapsed (work nobody claimed). The heading tells you how many items are in view — for example "8 closed".
Searching
The search box searches close notes — the sentences people wrote when they handled or dismissed something. That is usually what you are actually looking for: "did anyone ever explain why we stopped chasing this?" A matching item shows up to three short snippets of the note text in its detail pane under Matching close notes. Search text is limited to 200 characters, and Clear Settled search resets it.
The filters
Choose Filters to open the filter dialog. The button carries a small number showing how many filters are currently active, and Clear beside it drops them all.
| Filter | Choices |
|---|---|
| Closed date (called Lapsed date on the Lapsed tab) | Last 7 calendar days (the default), Today, This month, This quarter, This year, Custom dates, All history |
| From / Through | Two date pickers, shown only when you choose Custom dates. Both are required. |
| Close reason (Settled tab only) | All reasons, Handled, Dismissed, Cleared by evidence, Suppressed |
| Owner at close (Settled tab only) | All owners, Unassigned, Owner not recorded, then each member by name |
| Source | All sources, then each source that appears in your history — Gmail, QuickBooks Online, PromoStandards, and so on |
Under the fields, the dialog names the time zone the dates are read in and reminds you that all filters work together. Finish with Apply filters, or Clear filters to reset, or Close to leave things as they were. Results page 50 at a time with a Next page control, and the footer says where you are ("Showing 5 of 8").
What a receipt shows
Click any row and the reading pane tells the whole story:
- How it closed, in a sentence that names the person and the surface — "Priya Shah handled this point via In app", or "Scout closed this point after new evidence resolved it", or "This point was muted for the workspace."
- Close note, quoted exactly as it was written, when there is one.
- Context — the supplier, order or record the item was about.
- Back to the Inbox? — the reopen section, described below.
- Item details — Owner at close, Source, Raised and Closed timestamps.
- Action history, a collapsed list with a count. Open it to see every recorded action on the item: who, from which surface, at what time, and any note. When there is more history than the pane shows, it says how many of how many you are seeing.
Reopening a handled or dismissed item
- Find the item and open it.
- Look at Back to the Inbox?. If you may reopen it, it reads: "If there is still work to do, reopen this point. Its previous decisions stay in the history."
- Choose Add back to the Inbox.
The item returns to open work with its history intact — the original close and its note stay in the action history rather than being erased. If it still had an assignment when it closed, that assignment comes back with it, so it may reappear claimed rather than unclaimed.
Three cases where Add back to the Inbox is not offered:
- Cleared by evidence. The pane says "Scout will raise a new point if the source evidence changes and more work is needed." Evidence settlements are never reopened by hand.
- Suppressed (muted for the workspace). Only an Owner or Admin can bring one of these back.
- Your role or your access. The pane says "This item is available to review. Reopening is currently unavailable for your access or its current state." Owners and Admins may reopen anything they can see; Members may reopen their own or their team's work; Viewers may not reopen anything.
Reviving a lapsed item from here
Switch to the Lapsed tab, open an item, and the section reads Bring it back to the Inbox with a Claim to revive button, plus a Claim for team chooser if more than one of your teams may claim it.
Good to know
- Empty states are specific: "No items match these filters." when you have filtered too tightly, and "A place for finished work." when there is genuinely nothing yet.
- You only ever see items you were authorized to see. The archive is filtered before it is read, not after.
- Dates in the filters and timestamps in the pane use your workspace's time zone.
- Suppressed items are the ones an Owner or Admin muted for everyone. Muting takes no note; handling and dismissing do.
