Mailbox processing priority
Your plan includes an allowance of mailboxes Scout reads in full. If your team has connected more mailboxes than the allowance covers, Mailbox priority is where you decide which ones get the reading slots.
Where it is
- Go to Settings → Workspace → General.
- Scroll to Mailbox priority.

The panel only appears when it can change something. If your allowance covers every connected mailbox, there are no slots to allocate and Scout leaves the panel out rather than showing you a list that does nothing. It is also absent from a demo workspace, because only your own workspace's real numbers can fill it.
Owners and Admins can reorder. Everyone else sees the same list marked READ ONLY.
What the two states mean
Every mailbox in the list shows its provider and one honest state label.
| State | What it means |
|---|---|
| Reading messages | This mailbox has a reading slot. Scout reads the messages and can draw detailed evidence out of them. |
| Basic details only · mailbox limit reached | Your plan's mailbox allowance is already spent on mailboxes above this one in the list. |
| Basic details only · monthly budget reached | The workspace's reading budget for this month is used up. It resets with the next period. |
| Basic details only · removed | The mailbox has been disconnected or retired. It stays listed until it is cleaned up. |
| Basic details only · selected | This mailbox is deliberately set to basic details rather than full reading. |
"Basic details only" is not "ignored". Scout still sees who wrote to whom and when, so the mailbox still contributes to the shape of the picture — it just does not have the detailed reading that the deadline and money Watches lean on.
Reorder the list
- Find the mailbox you want read in full.
- Use the up and down arrows beside it to move it. The panel explains the rule in one line: Scout can read messages from a fixed number of mailboxes, so move the ones your team relies on most to the top.
- Each move saves on its own — there is no separate Save button. Scout confirms with "Save confirmed. The current mailbox priority is shown."
Reordering is the only change you can make here. The allowance itself is not editable on this page; it comes from your plan.
If two people reorder at the same time, the second save is refused rather than silently overwriting the first, and Scout says "Mailbox settings changed before this save. The current order is shown; choose again." If a save cannot be confirmed at all, Scout offers Retry save for the same change rather than guessing whether it took effect.
Waiting for a reading slot
When mailboxes are queued behind the allowance, a banner names them: "Waiting for a reading slot: …". Owners may also see Request a mailbox pack, which opens an email to Scout support. Each pack adds five mailboxes, and support confirms availability and any charge before your allowance changes. Everyone else is told to ask the workspace Owner about increasing the allowance.
Good to know
- Changing the order does not throw anything away. Items Scout already raised from a mailbox stay in your Inbox and in the archive.
- Your plan's allowance shows on the Plan page in Settings.
- If a colleague's authorization has expired, fix that first. A mailbox Scout cannot read at all is a connection problem, not a priority problem — see The connection detail page.
- Priority is about mailboxes, not about people or teams. It does not change who can see what; that is decided by roles, teams and the visibility rules for personal mail.
