Privacy Policy and Terms of Service

The help articles in this category describe how Scout behaves. The two documents below are the binding versions, and where they and a help article ever disagree, they win.

What is in the Privacy Policy

  • What data Scout collects from your connected sources, and what it does with it.
  • How Scout handles members' mailboxes, including the rule that a message which does not concern your business is not turned into an item and is not shown to anyone.
  • Scout's AI commitments: zero-data-retention and no-training terms for model interactions. See How Scout uses AI with your data.
  • The full list of sub-processors — every company involved in operating Scout, with what each one does. This list in the Privacy Policy is the authoritative one.
  • How long data is kept, and how it is deleted.
  • How to make a privacy request, and the address to send it to.

What is in the Terms of Service

  • The agreement between your company and Scout HQ LLC, a Wisconsin company.
  • What a plan includes as entitlements — connected mailboxes, connections, and supplier feeds — without pricing. Prices are on the Plan page in Settings.
  • The data-processing terms, including notice of a security incident and the notice you get before a new sub-processor is added.
  • What happens when a subscription ends: the window to request an export, and the deletion that follows.
  • Acceptable use, liability, and the usual commercial terms.
  • Disputes are governed by Wisconsin law.

Good to know

  • Each document carries its own effective date at the top. That date tells you which version governs.
  • Scout gives workspace Owners advance notice before a material change to either document takes effect, and before a new sub-processor is added. The notice periods are stated in the documents themselves.
  • Scout does not hold a SOC 2 or equivalent third-party audit report today, and the Privacy Policy says so rather than implying otherwise.
  • Both documents are also available as formatted documents if your legal or procurement team would rather review a file than a web page. Ask through support.
