Plan and billing
Billing features roll out with the launch plans; if a control described here isn't on your Plan page yet, it's on its way.
Scout HQ is priced flat per workspace. Four plans match how many people your shop has, and seats are unmetered on all of them — adding a teammate costs nothing. Everything to do with money lives at Settings → Workspace → Plan & billing, and only the Owner can change it.

Who can see and do what
- The Owner can change the plan, add or update a card, and open invoices.
- An Admin sees the plan and nothing more: "Admins can see the plan, but only the Owner can change it or view invoices."
- A Member or Viewer sees which plan the workspace is on: "You can see the plan this workspace is on. Only the Owner can change it or see payment details."
- For anyone but the Owner, the PAYMENT row reads Hidden.
If the person who pays is not the person who should be Owner, move the seat — see Transferring ownership.
What the page shows
The top card names your CURRENT PLAN and summarizes its allowance in one line: mailboxes Scout reads in full, connections, PromoStandards supplier feeds. Four figures sit beneath it:
- CONNECTIONS — how many of your plan's connections you are using.
- SEATS — Unmetered, on every plan.
- RENEWS — the next billing date. Billing is monthly.
- PAYMENT — the card on file, or No card on file.
Two buttons finish the card: Invoices and Change plan.
The four plans
| Plan | Headcount band | What the plan lists |
|---|---|---|
| Launch | 1–5 people | Unmetered seats, an allowance of mailboxes, native connections, and PromoStandards suppliers |
| Growth | 6–20 people | Unmetered seats, a larger allowance of mailboxes, native connections, and PromoStandards suppliers |
| Scale | 21–50 people | Unmetered seats, a larger allowance again of mailboxes, native connections, and PromoStandards suppliers |
| Enterprise | 51+ people, marked CUSTOM | Custom mailboxes, connections, and supplier feeds; dedicated onboarding and support; custom contract and invoicing |
See the Plan page in Settings for current pricing and the exact numbers in each allowance. The bands are guidance, not a gate: nothing stops a five-person shop taking Growth for its larger mailbox allowance, because seats are not what you are paying for.
Change your plan
- Open Settings → Workspace → Plan & billing as the Owner.
- Choose Change plan. The panel opens with the line "Flat pricing per workspace — seats are always unmetered."
- Read the four cards. Each lists what that plan includes; the one you are on is marked CURRENT PLAN.
- Choose Preview Launch, Preview Growth, or Preview Scale to see your workspace on that plan before you commit, including whether your connections still fit its allowance.
- For Enterprise, choose Contact sales. Enterprise is quoted, not self-serve.
- Confirm the change in the secure checkout.
Moving up takes effect straight away. Moving down takes effect at the end of your current billing period, so you keep what you already paid for. If a downgrade would leave you over the smaller allowance, deal with that first — retire a connection you no longer need, or reorder your mailboxes so the allowance is spent where it matters. See Mailbox processing priority.
Trials and adding a card
A new workspace starts on a 30-day free trial with no card required. Nothing is held and nothing is charged.
- Open Settings → Workspace → Plan & billing.
- Choose Change plan and pick the plan you want to be on.
- Enter your card in the secure checkout.
If the trial ends with no card added, the workspace pauses — it becomes read-only until a card is added. Nothing is deleted: points, evidence, receipts, teams, and connections all stay where they are, and the workspace picks up where it left off once a card is on file.
Invoices, receipts, and card changes
- Choose Invoices on the Plan page.
- The secure customer portal opens. Download past invoices, update the card on file, and change your billing address and tax details there.
Scout does not keep your card number. Payment details live with the payment processor and are reached through that portal.
Cancelling
- Open the customer portal from the Plan page.
- Cancel the subscription.
Cancellation takes effect at the end of the current billing period. Scout keeps working normally until that date rather than cutting off the day you cancel, and if you change your mind before then you can start the subscription again from the same place.
Good to know
- Seats are unmetered on every plan. Invite the whole shop, including the bookkeeper who signs in twice a month as a Viewer, without changing the bill.
- What a plan meters is reading: how many mailboxes Scout reads in full, how many connections, how many supplier feeds. Your plan's allowance shows on the Plan page.
- A paused workspace is read-only, not deleted — the same state a failed payment leads to, resolved by putting a working card on file.
- Deleting a workspace is a separate Owner-only action on the General page, and it does destroy data. Cancelling a plan deletes nothing.
- Billing is monthly. If you need annual invoicing, that is an Enterprise conversation — choose Contact sales.
