Multiple workspaces

One Scout HQ account can hold a seat in more than one workspace. A workspace is one operating company and the hard boundary around its data; a seat is your place in one workspace, with a role. If you run two businesses, or consult for a second promotional products distributor, you switch between them from the header rather than signing out and back in.

Switch workspaces

  1. Choose your avatar at the top right of the header.
  2. The menu opens with your name and account email, then shortcuts — Your account, Workspace settings, Watches, Teams, People & roles, Help & docs.
  3. Under WORKSPACES, each workspace you belong to is listed with its mark, its name, and a line telling you your role there and how many people are in it — for example OWNER · 5 PEOPLE. A tick marks the one you are in.
  4. Choose the workspace you want. The Inbox, Map, Found, Connections, and Settings all reload as that company.

Settings carries the same switcher at the top of its WORKSPACE group, above the section list, so you can move between workspaces without leaving the page you are on.

What is shared and what is not

Shared across all your workspaces Separate in each workspace
Your name, title, picture, and time zone Your role — you might be an Owner in one and a Viewer in another
Your password, two-factor methods, and sessions Your teams and your primary team
Your account email address Your morning-brief schedule and notification toggles
Where you last signed in Every point, its evidence, and every receipt

The separation is complete and deliberate. Nothing crosses between workspaces — not a point, not an evidence row, not a customer record, not a supplier feed. Your profile and your security settings are yours and follow you; everything about the work belongs to one company only. See Who can see what.

Create another workspace

  1. Open the avatar menu and choose Create workspace at the foot of the WORKSPACES list.
  2. Fill in the workspace details. While you are still filling them in, the switcher shows the new entry tagged LOCAL DRAFT · NOT CREATED, so it is obvious nothing exists yet.
  3. Save. You are the Owner of the new workspace, and it starts empty — honest zeros, no sample data.

A brand-new workspace begins on a trial with no card required, and it needs its own connections, its own teams, and its own invitations. See Plan and billing and Workspace settings (General).

Good to know

  • The address bar labels the workspace you are in but never selects it. Pasting a link that names another workspace will not move you there, and cannot be used to read one you do not have a seat in.
  • You connect your own mailbox once per workspace. A mailbox connected in one workspace is not read for another, which is what keeps two companies' mail apart even when the same person works in both.
  • Your morning brief is per workspace, because each membership carries its own brief schedule. Two seats can mean two briefs; set each one's time from that workspace's Notifications page.
  • Sign out at the foot of the avatar menu signs out your account, so it ends your session in every workspace at once.
  • Deleting a workspace requires you to keep at least one other active workspace, so you can never delete your way out of having anywhere to sign in to.
